Accountant and Administrative Assistant
The Accountant and Administrative Assistant is responsible for
- Carrying out KAS accounting tasks independently
- Assisting Director in financial planning, monitoring and accounting and ensuring that financial administration functions well in accordance with KAS standard procedures
- Effectively coordinating with the staff of the finance team at KAS Head Office
- Procuring goods/equipment for KAS office
- Ensuring the presence at the KAS office and takes over temporarily duties at the reception
- Assisting Director at local authorities (customs declaration, car registration etc.)
- Financial services
- Carrying out accounting tasks using KAS accounting software
- Being responsible for cash box
- Assisting Director in monitoring income, expenditure and the monthly bank reconciliation for office
- Assisting Director in monitoring real accounts (payables, receivables)
- Following up on inventory and updating existing lists
- Checking the vouchers and receipts submitted by the projects/programmes for completeness and allocation to cost units and categories, and correcting these where necessary
- Supporting Director in preparation of monthly and annual budgets and monitors deviations
- Calculating travel expenses
- Reporting all problems with financial administration and compliance without delay to superior
- Phone and reception services (temporarily)
- Answering and accepting phone calls and messages and/or forwards them accordingly
- Registering, documenting and organizing incoming and outgoing correspondence (fax, emails, packages and personally delivered messages) on need
- Office work and services
- Supporting Director in preparing necessary documents related to stay in country or travels (i.e. visa and residence permits, work permit etc.), especially official letters in Arabic
- Procuring materials and equipment locally, monitor markets, issues invitations to tender and processing orders in accordance with KAS regulations
- Supporting Director in preparing and submitting all necessary papers for duty-free import goods
- Documenting and filing properly completed orders
- Following up KAS office library and keeping inventory lists updated
- Sorting and distributing incoming correspondence (post, email, fax, other official documents)
- Supporting on need Director in travel arrangements such as booking tickets, flights, hotel reservations, transport etc.)
- Other duties/additional tasks
- Preparing monthly payments for Social Security and Income tax related to all National Personnel NP
- Following up sales tax matters for projects and KAS-Office with the KAS auditor and the concerned ministries and institutions
- Being responsible for filing in accordance with KAS rules
- Performing other duties and tasks at the request of management
- BA in accounting and auditing or similar area
- 3 - 5 years professional experience in a comparable position
- In-depth knowledge of accounting software
- Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
- Confidential handling of data and information
- Very good knowledge of Arabic and English, a knowledge of German is a plus
- Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with management
- A collaboration in a dedicated and flexible international team
- A full-time contract according to Lebanese rules
- A remuneration appropriate to the work assignment (1200 to 1500 USD, negotiable depending on the qualifications of the candidate)
